Half of visa planning is passport planning. A visa in an expiring passport is a countdown; a strong itinerary behind a nine-year-old passport is a refusal at check-in waiting to happen.
The 10-year trap
Adult UK passports issued before 2018 often carried extra months added from the previous document — up to 10 years and 9 months of validity. The EU (and others) cap recognised validity at 10 years from issue, so those extra months do not count for Schengen travel: your passport must be under 10 years old on the day you enter and valid 3 months beyond your planned departure. Travellers have been denied boarding on passports that looked months from expiry. Check the issue date, not just the expiry.
When to renew
Our working rule: once you are inside 9–10 months of expiry, renew before booking anything long-haul. Six-month validity rules (the Gulf, most of Asia, much of Africa) measure from your entry date, and visa processing itself eats weeks — a passport can be legal for the application and marginal for the trip.
The urgent services
HM Passport Office runs two paid fast tracks: the 1-week Fast Track (paper application, in-person appointment) and the Online Premium same-day-issue service for eligible adult renewals, collected at an office hours after the appointment. Appointment slots — not processing — are the bottleneck; they release in waves and vanish in peak season.
Genuine emergencies
Travel inside days with an expired or damaged passport is not automatically hopeless, but it is a logistics problem: securing an appointment, preparing the application so nothing bounces, and physically bridging document and traveller.
